Privacy Policy
How uWash collects, uses, and protects your personal information.
1. Introduction
uWash (“we”, “us”, or “our”) operates the website uwash.co.za and a wholesale business portal for registered trade customers in South Africa. We respect your privacy and process personal information in line with the Protection of Personal Information Act, 2013 (POPIA).
This Privacy Policy explains what information we collect, why we collect it, how we use it, who we share it with, and what rights you have.
2. Information we collect
When you use our website or business portal, we may collect:
- Account details: name, surname, email address, phone number, and password (stored securely by our authentication provider).
- Business details: company name, CIPC registration number, price range assignment, and account approval status.
- Identity and verification documents: ID or passport copies and related uploads submitted during business registration.
- Delivery information: street address, suburb, city, province, postal code, and country.
- Order and payment information: products ordered, quantities, order totals, payment status, and transaction references processed through our payment partner.
- Technical data: browser type, device information, IP address, and site usage needed to keep the service secure and reliable.
3. How we use your information
We use personal information to:
- create and manage business accounts;
- review and approve wholesale registrations;
- provide access to approved product pricing and ordering;
- process orders and payments;
- deliver products to your nominated address;
- create accounting records, including customer and invoice records in QuickBooks where enabled;
- respond to support requests and communicate about your account or orders;
- comply with legal, tax, and regulatory obligations; and
- protect our website, customers, and business from fraud or misuse.
4. Legal basis for processing
We process personal information when it is necessary to:
- perform a contract with you (for example, fulfilling wholesale orders);
- comply with law (for example, tax and accounting record-keeping);
- pursue our legitimate business interests (for example, account verification and fraud prevention), provided these do not override your rights; or
- with your consent, where required (for example, optional marketing communications).
5. Third-party services
We use trusted service providers to operate the uWash platform. Depending on how you use the site, information may be processed by:
- Google Firebase — authentication, secure file storage for registration documents, and business profile data.
- Google Maps — address lookup during signup, where enabled.
- WooCommerce / WordPress hosting — order processing and website operation.
- Yoco — card payment processing. Payment card details are handled by Yoco; we do not store full card numbers on our servers.
- Intuit QuickBooks Online — customer and paid-invoice sync for approved business accounts, where connected by our administrators.
These providers may process data in South Africa or other countries. We require them to protect information appropriately and use it only for the services they provide to us.
6. How long we keep information
We retain personal information for as long as needed to provide our services, maintain business records, resolve disputes, and meet legal requirements. Registration documents and order records may be kept for the period required by applicable tax and commercial law.
7. Security
We use administrative, technical, and organisational measures to protect personal information, including secure authentication, access controls, and encrypted connections (HTTPS). No online system is completely secure, but we work to reduce risk and limit access to authorised staff and systems.
8. Your rights under POPIA
Subject to applicable law, you may request to:
- access personal information we hold about you;
- correct inaccurate or incomplete information;
- delete information where we no longer have a lawful reason to keep it;
- object to certain processing;
- withdraw consent where processing is based on consent; and
- lodge a complaint with the Information Regulator (South Africa).
To exercise these rights, contact us using the details below. We may need to verify your identity before responding.
9. Cookies and similar technologies
Our website may use essential cookies and local storage needed for sign-in sessions, cart functionality, and security. We do not use non-essential tracking cookies unless we clearly notify you and, where required, obtain consent.
10. Children
Our wholesale portal is intended for business customers and is not directed at children under 18. We do not knowingly collect personal information from children.
